Workspaces

A workspace is the shared home for a business's sites, on the Company plan. One plan pays for every site, and your colleagues each sign in as themselves to edit them. This page covers starting one, moving your own sites in, adding people, and what happens if you leave the plan.

We're cancelling our Company plan. What happens to our sites?

What your AI will ask you

  • The workspace's name, and which plan you want. If you're not sure, it asks how many people will edit and how many sites you have.
  • Which of your sites move in, and which of the people who edit them come along.
  • What to do with your personal plan afterwards: keep it for the sites that stay personal, or end it.

What to have ready

  • A way to pay for the plan. You enter it yourself in the Page Lemon app. Your AI never pays and never asks for card details.
  • The email addresses of the people you want to bring along, the ones they sign in to Page Lemon with.
  • A site that sells with Page Lemon Checkout pays into the workspace's own payouts after the move. The Workspace Owner connects them on the workspace page; until then, its checkout pauses.

What happens

  1. Your AI looks at your sites and the people who edit them, and tells you which plan holds everything. It sends you to the Page Lemon app to choose the plan and pay. Nothing moves until you've paid.
  2. After you pay, your AI shows you two ways to go on. Take our recommendations: every site comes in, everyone who edits your sites comes along, and your personal plan ends when nothing is left on it. Or Step by step: you choose the sites, the people (with a warning that anyone left out loses access at once), and what to do with your personal plan.
  3. Your AI shows you the whole choice, including what each person becomes, and gives you a short link: open it and click Approve. The sites move in and stay online the whole time. You stay each site's Site Owner.
  4. In a workspace, everyone takes a seat. Each person you bring along becomes a Workspace Developer at once while a seat is free, and keeps editing. When no seat is left, they become a Site Viewer of their own sites, and you can make them Workspace Developers once a seat is free. Anyone who hasn't signed up to Page Lemon yet gets an email invite instead. People you left out lose access as soon as the sites move. Your AI tells you which sites moved, which didn't and why, and what each person is now. Leaving right after paying keeps the move waiting: finish it from Sites in the app, or ask your AI.

You can start it yourself too: Billing → Move my sites to a workspace.

Already in a paid workspace? Move one site on its own: open the site in the Page Lemon app, then Settings → General → Move into a workspace. Before you confirm, you see who edits the site and what happens to them: each becomes a Workspace Developer while a seat is free, else a Site Viewer. If you're not the Workspace Owner or an Admin, they stay on as Site Viewers and the Workspace Owner or an Admin can invite them as Workspace Developers. The site is moved, not copied.

Roles

  • Workspace Owner (one person): pays for the workspace, can hand it to someone else, and can do everything, billing and Connect payouts included. Handing a workspace over ends the 14-day full refund of its plan.
  • Workspace Admin: can do everything except billing: every site, user information and form replies, bookings and orders, inviting and removing people, groups and the workspace's settings. They can't pay, cancel or change the plan, connect payouts, refund orders, delete the workspace or change the Workspace Owner.
  • Workspace Developer: changes and publishes every site in the workspace, signed in as themselves, with their own AI too. They can't see user information, form replies, bookings or orders (except on sites they own), or manage people.
  • Custom: can do only what their groups allow, on the groups' sites. Someone in no group can't do anything yet.

Groups

A group lets the people in it do some things on some sites, like a client who views one site, or shop staff who scan users. The Workspace Owner and Admins make them under Workspaces → Settings → Groups, or ask their AI.

  • What people in it can do: any of View the site, Change the site, View users, Edit users, Manage the AI key and Scan users. A new group allows nothing until you tick something. Manage the AI key comes with View users.
  • On which sites: all sites, new ones included, or only the sites you choose.
  • Who is in it: Developers and custom people. The Workspace Owner and Admins can already do everything.

Visitors' form replies, bookings and orders on a workspace site are for the Workspace Owner, Admins, the site's own Site Owner and groups with View users on it.

Seats

Everyone in the workspace takes a seat: the Workspace Owner, each Admin, each Developer, each person in a group, and each invite that hasn't been accepted yet (it holds its seat for up to 30 days). Nobody needs a paid plan of their own. The plan's number of people is the number of seats. When none is free, an invite is refused and your AI tells you what to do: remove someone, or move to the bigger plan.

Who can invite

Only the Workspace Owner and Admins invite people, change their roles and groups, and remove them: in the app under Workspaces → Settings → People, or by asking their AI. Anyone else in the workspace can see the list of people and leave.

To invite someone to edit a workspace site, ask your AI as you would for any site: they become a Workspace Developer and take one seat. To give someone less, or only some sites, put them in a group.

Leaving the Company plan

Only the Workspace Owner can do this. Your AI helps you decide first, and you cancel the plan itself under Billing in the app.

  1. Choose what moves. Sites you want to keep move to your own personal plan, before the workspace freezes. They are moved, not copied: each keeps its address, domain, versions, form replies and bookings, and stays online. Your personal plan's limits are checked first. Sites that other people own are offered to them. You choose which people stay on as Site Developers on your plan, where they work on the design only. Anyone you don't keep loses access when the site moves. You also choose what to do with upcoming bookings on sites that stay behind: keep them (customers can still look at, change or cancel them from their emails) or cancel them and email the customers.
  2. Cancel the plan. It runs to the end of the period you paid for. Then everything keeps working for 14 more days, so you have time to think again.
  3. Then the workspace freezes. Its sites show "This site is paused", nothing new comes in, nobody is charged, and everyone else in it can look but not change anything. You can still sign in, see everything and download it all. If you withdraw within the first 14 days and are refunded in full, there is no 14-day wait: it freezes at once.
  4. It is kept for 6 months from the day it froze. We email you when it freezes, 30 days and 7 days before it would be deleted, and when it is. You can delete it sooner under I don't need it anymore, by typing its name.
  5. Change your mind. Pay for the workspace again and everything comes back online at once. Your AI then offers to bring back the sites that moved to your personal plan. Their Site Developers are invited back as Workspace Developers while seats are free.

Visitors' form replies, bookings and orders go with the sites you take, and you become responsible for them: if a site's privacy notice names the workspace, update it. See Privacy and your data.
