How a swap works

Your team sorts cover between themselves. You set the rules once and only hear about it when something needs you.

  1. Someone asks

Mo taps his Thursday shift and asks for cover. Pinny only offers it to people who are free, trained for the role and under their hours.

  2. Someone picks it up

Pinny pings everyone who is free and trained. First to tap takes it, so nobody needs to reply-all at 6am.

  3. The rota updates

Like-for-like swaps go straight through, or wait for your yes. Either way the rota, the hours and the wage total update together.

Week of 18 Jan Draft

Wages vs forecast takings 27%

Target 30%. You have room for one more Saturday shift.

Next week’s rota, built in one sitting

Start from last week or a saved template. Pinny greys out the days people can’t do, so you never book Amara on a lecture day again.

  • Availability and holidays sit right on the grid
  • Warnings for rest breaks, under-18s and overtime
  • Wage cost against forecast takings as you go
  • Publish once, and everyone gets their shifts by text or app
How the rota builder works

Made for places where everyone’s on their feet

Café counter at opening time with a barista at the coffee machine

Opening at seven with a student team

Early opens, split shifts and students who change their timetable every term.

  • Opener and closer roles with key-holder checks
  • Term-time availability that switches itself
  • Tips split by hours worked, ready for payroll

One rota for the pass and the floor

Front and back of house on one rota, with the skills each section needs.

  • Sections and stations, from pass to pot wash
  • Swaps only go to people trained for the station
  • Covers forecast next to the wage bill
Independent shop floor with shelves, a till and a shop assistant

Weekends, deliveries and December

Cover the busy hours without a spreadsheet, and let seasonal staff come and go.

  • Seasonal staff added in a minute, removed in one
  • Minimum cover per hour so the till is never alone
  • Several shops, one view of who can travel

What customers say

“Saturday used to mean forty messages before nine. Now someone asks, someone takes it, and I get one note saying it’s sorted.”
