Who is responsible

Tollgate Harriers, Tollgate Pavilion, Long Acre Road, Penmarrow QT9 2HX, decides how members' information is used (the controller). Page Lemon hosts this site, runs the sign-in and stores members' replies and results for us as our processor. Stripe takes subscription payments under its own terms.

Who may join

Members are adults aged 18 and over. The committee decides each request to join, and the secretary reads it first.

What we collect

• Your email address, to sign you in and to send club emails you have agreed to.
• Your name, your usual pace and the races you're aiming for, which you give when you ask to join.
• Your membership: the plan you chose, when you paid and when it renews. Stripe handles payment details, and we never see them.
• Your availability replies: the fixture, whether you're available, the team you'd run for and any note.
• Race results the club adds for you: the race, date, finishing time, position and whether it was a personal best.
• Sign-in records (when and from which browser), to keep your account safe.

Why

To run the club, pick teams, keep the club's race records and collect subscriptions ([legal basis, for example: our contract with you and our legitimate interest in running the club]).

Who sees it

You see your own replies and results. The captains and the secretary see the replies and results of every member, to pick teams and enter races. Other members do not see your email address, your subscription or your results. [Who else sees race results, for example: published on the club website as finishing lists, with names only].

How long we keep it

[For example: availability replies for 12 months after the fixture; race results kept as the club's history, with your name only; payment records for 6 years, as UK tax rules require]. When you leave, your email, replies and profile are deleted, except records we must keep by law.

Your rights

You can ask for a copy of your information, ask us to correct or delete it, or object. Write to hello@tollgateharriers.example.com. You can also complain to [your data protection authority, for example the ICO in the UK].
