Privacy notice for clients
Template: fill in every highlighted blank before clients use the galleries. This is a starting point, not legal advice.
Who is responsible
[Business name], [address], decides how your information is used (the controller). Page Lemon hosts this site and runs the client sign-in, and stores your picks, notes and selections for us as our processor.
What we collect
- Your email address, to sign you in and to send your gallery invitation and any notice about your finals.
- The gallery link we send you, and the gallery's shoot date, frame range, pick allowance and deadline that we enter for you.
- Your picks: the frame number, the finish (colour, black and white or either), the crop and any note you write, with the status and replies we add.
- The selections you send us: the gallery, the frame numbers with their finish and crop, how many, and your note, with the status and reply we add.
- Your package for each shoot and how long your gallery stays open, which we enter for you.
- Your orders for prints, albums and extras: the item, how many, the frame numbers and any note. We invoice you by email; no payment details are entered here.
- Your first name, if you add it to your profile, so we can greet you.
- The download links and expiry dates of the finals we deliver to you.
- Sign-in records (when and from which browser), to keep your account safe.
Why
To give you your gallery, take your picks and deliver your finals ([legal basis, for example: our contract with you]).
Who sees it
You see only your own galleries, picks and finals. [Who else at the studio sees them, for example: Ines and the editor who prepares your finals]. We do not share your picks or memos with other clients.
Your gallery link
The gallery link opens the online gallery we host or share with you. Its own terms and privacy notice apply there: [name the gallery service you use]. Keep the link private; anyone with it can open the gallery.
How long we keep it
[For example: galleries, picks and finals for 2 years after the shoot; invoices for 6 years, as UK tax rules require]. When you ask us to delete your account, we delete your picks, notes and selections, except records we must keep by law.
Your rights
You can ask for a copy of your information, ask us to correct or delete it, or object. Write to [privacy email]. You can also complain to [your data protection authority, for example the ICO in the UK].
