Privacy notice
Template: fill in every highlighted blank before members use this site. This is a starting point, not legal advice.
Who is responsible
[Club name], [address], decides how your information is used (the controller). Page Lemon hosts this site, runs the sign-in and stores requests, replies and photos for us as our processor.
What we collect
- When you ask to join: your email address, your name, the camera you use and the line you write about yourself.
- Your email address, to send you sign-in codes and to tell you when the club has answered your request.
- Your outing replies: which outing, whether you're coming, how many guests and your note.
- Your theme entries: the theme, the title, your photo and what you write about it, and the status and judge's note the club adds.
- Your club nights: the date each time staff scan your member code at the door, and the free prints you use. Staff see your first name and your counts, never your email.
- If you pay your subscription here: your plan and renewal date. Stripe takes the payment and holds your card details; we never see them.
- Sign-in records (when and from which browser), to keep your account safe.
We never ask for card, bank or ID numbers here; please leave them out.
Why
To decide on requests to join, run the club's outings and monthly themes, and keep in touch with members ([legal basis, for example: our legitimate interest in running the club, or your membership agreement]).
Who sees it
You see only your own replies and entries. [Who in the club sees them, for example: the secretary reads requests to join; the committee sees replies and entries; the three photos picked each month are printed and shown in the hall with the photographer's name].
How long we keep it
If we say no to a request to join, the details you gave are deleted straight away, and only your email address and the dates of the request and our answer are kept for 30 days, so the same request isn't sent again. A request we haven't answered is deleted after 90 days. [For example: replies until a month after the outing; entries for the club year they were entered]. When you leave, your replies and entries are deleted, except records we must keep, which we tell you about.
Your rights
You can ask for a copy of your information, ask us to correct or delete it, or object. Write to [privacy email]. You can also complain to [your data protection authority, for example the ICO in the UK].
