Privacy notice
Template: fill in every highlighted blank before clients use this site. This is a starting point, not legal advice.
Who is responsible
[Business name], [address], decides how your information is used (the controller). Page Lemon hosts this site, runs the sign-in and stores your papers, questions and files for us as our processor.
What we collect
- Your email address, to invite you and sign you in.
- Your first name and business name, if you add them to your profile.
- The papers you send: what it is, the file (a photo or PDF), who it is from, the amount, the month and your note, with the status and reply we add.
- The questions we ask you and your answers, with any file you add.
- Your deadlines: the filing, period, due date, stage, our note and a link to the figures.
- Sign-in records (when and from which browser), to keep your account safe.
Before uploading, black out card, bank account, government ID and tax reference numbers, passwords, and information about health or children. The figures behind each link sit in [where shared folders are stored, for example: our shared drive provider], under that service's own terms.
Why
To keep your books and do the work you hired us for ([legal basis, for example: our contract with you, and keeping records the law requires]).
Who sees it
You see only your own papers, questions and deadlines. [Who at the practice sees them, for example: the two bookkeepers and, at year end, your accountant].
How long we keep it
[For example: while we work together, and business records for 6 years after the end of the year they relate to, as UK rules require]. When you leave, your uploads here are deleted, except records we must keep by law, which we tell you about.
Your rights
You can ask for a copy of your information, ask us to correct or delete it, or object. Write to [privacy email]. You can also complain to [your data protection authority, for example the ICO in the UK].
